Overview

An object type’s fields are where users will input data. Fields are available in the following formats:

  • Text: A text field that allows for a single line or multiple lines of text, concatenations, rich text formatting, and translations.
  • Numeric: A field that allows for numbers.
  • Date & Time: A picker that allows you to select the date and time. All dates and times are saved and displayed in UTC format.
  • Select List: A dropdown menu with multiple options to choose from.
  • Attachments: An area on the form that allows users to upload files, insert links to websites, or both. Supported document files are searchable by keywords or upload dates.
  • Image Attachment: A field through which images can be uploaded and embedded onto a form.

All fields saved to an object type will appear on the object type’s default form, but you can select which fields will appear on configurable forms associated with the object type.

  1. From the Home screen, click the Administration icon.

  1. From the Admin Overview screen, click the Object Types tile under the Data Model section.

  1. From the Admin: Object Types screen, enter a keyword in the Search field to narrow the Object Types list.

  1. Click the Object Type you wish to edit or delete.

  1. From the Admin: Object Types screen, scroll to the Overview tab.

  1. From the Fields tab, click the Add Fields button.

  1. From the Add a Field pop-up, click the Add a New Field button.

  1. From the Create a New Field pop-up, select a field type from the Field Type dropdown menu.
    • Text: A text field that allows for a single line or multiple lines of text, concatenations, rich text formatting, and translations.
    • Numeric: A field that allows for numbers.
    • Date & Time: A picker that allows you to select the date and time. All dates and times are saved and displayed in UTC format.
    • Select List: A dropdown menu with multiple options to choose from.
    • Attachments: An area on the form that allows users to upload files, insert links to websites, or both. Supported document files are searchable by keywords or upload dates.
    • Image Attachment: A field through which images can be uploaded and embedded onto a form.

  1. Enter a file name in the Field Name field. The field name is used to represent the file throughout the system.

  1. (Optional) Enter a long name in the Long Name field. The long name provides an alternate file name allowing for additional information which can be styled using Markdown. You can choose to display a field's long name on configurable forms.

  1. (Optional) Enter a brief field description including instructions or additional information in the Description field.

  1. The following fields will differ depending on the File Type selected:
    • Text:
      • Text Type:
        • Single Line: Provides a single line for a field response.
        • Multiple Line: Provides multiple lines for a field response.
        • Rich Text Format: Provides a rich text field for a field response, where formatting can be applied.
      • Minimum Characters: Enter the minimum number of characters that can be entered as a field response. If a value is entered in the Maximum Characters field the minimum character entered must be less than or equal to the Maximum Characters field value.
      • Maximum Characters: Enter the maximum number of characters that can be entered as a field response. If a value is entered in the Minimum Characters field the maximum character entered must be greater than or equal to the Minimum Characters field value.

    • Numeric:
      • Minimum Characters: Enter the minimum number of characters that can be entered as a field response. If a value is entered in the Maximum Characters field the minimum character entered must be less than or equal to the Maximum Characters field value.
      • Maximum Characters: Enter the maximum number of characters that can be entered as a field response. If a value is entered in the Minimum Characters field the maximum character entered must be greater than or equal to the Minimum Characters field value.
      • Number Type: Select a number type format from the Number Type dropdown menu:
        • Number: A field that allows users to enter a numeric value.
        • Currency: A field that allows user to enter a numeric currency value.

    • Date & Time:
      • Date & Time Format: Select a Date & Time format. Users must enter date and time information in Date & Time fields according to the format selected from the dropdown menu (e.g., DD/MM/YYYY format entering a date in the 'DD-MM-YYYY' format will be accepted. However, attempting to enter a date in the 'YYYY-MM-DD' format will result in an error.).
        • YYYY-MM-DD
        • YYYY-MM-DD HH:MM AM/PM

    • Select List:
      • Select Type:
        • Single: A single select list allows users to select only one option from the field.
        • Multi: A multi-select list allows users to select multiple options from the field.
      • Input Type: Select the single select lists field input type, either search field or dropdown menu. The Input Type field does not appear for multi-select lists.
      • Current Options Tab: This tab will show all the current select list options. For more information, please refer to the Creating a New Select List article.
      • Add Options Tab: This tab allows the user to add options to the Current Options tab. For more information, please refer to the Creating a New Select List article.

  1. Click the Create and Link button to add the new field to the object type.

  1. From the Add a Field pop-up, click one or more fields in the Pick Fields to Add section.

  1. Click the Add Selected button to add the selected field to the object type.

  1. From the Admin: Edit Object Type screen, click the Field Name to edit the field.

  1. Click the Unlink button to remove the field from the object type.
